Job Description

Skill Requirements:

Education, Experience & Qualifications:

• Completion of Secondary School Education is required
• A university degree or college diploma in business or public administration will be an asset.
• 1 to 2 years’ experience of having worked in an office based environment in an office administration role, senior clerical or executive secretarial position is required.

Job Duties:

• Train, Coordinate and oversee staff about the administrative procedures
• Maintain close supervision on the daily functions of the staff, ensuring productivity and checking the quality of the output
• Provide assistance and guidance to the clients
• Create and maintain an effective filling system for all administrative and financial documents
• Assist on day to day activities, answering phones, following up with clients, Coordinate and managing within team members.
• Assist CEO with admin work.
• Establish priorities and delegate work to support staff accordingly
• Ensure deadlines are met and procedures are followed
• Coordinate and plan for office services such as equipment, supplies, forms, maintenance and security services
• Organise meetings with clients and other lawyers
• Manage records.
• Collect data and prepare reports and correspondence as required and directed by company management.
• Complete general paperwork and daily work tasks which are part of daily work routine and required for the regular day to day operations of the company.
• The course of the day the office Administrator role does overlap with some of the responsibilities and general duties of all employees such as occasionally have to answer inbound telephone calls, booking appointments, may be required to attend meeting help outside of the company premises

Additional Skills:

Should have excellent communication skills and be able to work under pressure in an office setting to meet deadlines as assigned.
