Education: Secondary (high) school education required

Experience: A minimum of 2 years of experience as an administrative assistant is required. Experience in a golf or sports club setting is an asset.

Duties and Responsibilities

Main Duties
• Use highly developed interpersonal communication skills to greet club members and guests, determine the nature of their visits, and either answer or redirect any enquiries they may have. This includes using thorough knowledge of club membership packages to discuss membership options with potential members
• Promptly open and distribute incoming mail and online mail to the relevant department or individual
• Order office stationery and maintain inventory
• Prepare, proofread and send internal and external correspondence as well as various internal documents while exhibiting a high level of attention to detail, including sending emails, faxes, scans, and photocopies
• Use organizational skills to execute:
o Accurate data entry and maintenance in our computerized Jonas Software with respect to club administration and operations, including invoices, Pro-Shop Green Fees, and Tee Time Management.
o Manual filing system maintenance and associated computerized file tracking information
• Employ a client-focused approach to answer telephone and online enquiries with respect to club reservations, as well as relaying telephone calls and messages to colleagues
• Demonstrate skills as a team player when working with colleagues, including when attending meetings and assisting various departments with administrative tasks
• Receive members payments from members and posting payments on member accounts
